Retreat Booking
Terms & Conditions

Welcome to Orenda Retreat! Please carefully read the following terms and conditions, as they govern your booking and participation in our retreats. By booking a retreat with us, you acknowledge that you have read, understood, and agree to these terms.

1. Booking

(a) Your booking is not considered definite, and no contract will exist until we receive a deposit of £400. By booking a retreat with Orenda Retreat, you are accepting these terms and conditions.
(b) We do not share customer details with any third parties.

2. Payment

(a) The price is the exact amount to be received in full by us in GBP.
(b) Full payment is due 45 days or more before the first day of the retreat. Payments should be made via bank transfer to the account specified in your confirmation email. If full payment is not received 45 days prior to the retreat start date, we will assume you wish to cancel your booking, and your deposit will be forfeited.
(c) Please note that the deposit is non-refundable but transferable to a friend under certain circumstances, provided you notify us in writing and the transfer is approved by us.

3. Your Travel Arrangements

(a) All travel arrangements, including transfers to and from the retreat venue, are your responsibility and at your own cost unless otherwise specified.
(b) We are not liable for any delays, cancellations, or irregularities in your travel arrangements or documentation.

4. Travel Insurance

(a) Travel insurance is highly recommended. Please ensure that your insurance covers the activities of the retreat, unexpected cancellations, medical emergencies, and any potential losses. You must bring your travel insurance details with you in case of an emergency.

5. Your Health

(a) It is your responsibility to inform your retreat hosts Kelly Hillard and Julia Theis of any injuries or health concerns before the retreat begins. You must be mindful of your physical limitations and desist from any activity that causes discomfort or injury.
(b) Consult your doctor before attending if you have any medical conditions, injuries, or are unsure about your fitness to participate in retreat activities.
(c) You must inform us of any mental or physical health conditions, allergies, or dietary requirements before booking. If we believe that participating in the retreat may pose a risk to your health or the health of others, we reserve the right to decline your booking.
(d) While we take all reasonable measures to ensure safety, please note that we are located in rural areas with uneven terrain. Participation in all activities is at your own risk.
(e) Orenda Retreat is not liable for any injuries or health issues that arise during yoga classes, swims, or other retreat activities.

6. Cancellation by You

(a) You may cancel your booking at any time by notifying us in writing. Cancellations will take effect on the date we receive your notification.​

  • If you cancel less than 30 days before the retreat, the full payment will be retained.

(b) Bookings are for the stated period of the retreat only. No refunds will be issued for unused portions of the retreat.

7. Amendments by Us

We reserve the right to make changes to the retreat schedule, including yoga teachers, class times, or accommodation, if necessary. If a significant change is required, we will notify you as soon as possible.

8. Cancellation by Us

(a) Orenda Retreat reserves the right to cancel a retreat if necessary. For example, if the minimum number of participants (75% of capacity) is not met 30 days before the retreat, we may cancel and refund your payment in full.
(b) If we cancel, we will offer the option to reschedule your retreat or issue a full refund.

9. Our Liability

(a) We are responsible for providing the retreat as described.
(b) However, we are not liable for cancellations, delays, or changes caused by events beyond our control, including but not limited to natural disasters, civil unrest, transportation disruptions, or personal circumstances.
(c) Participation in all activities is at your own risk. We are not liable for any injuries, medical conditions, or loss/damage to personal property.

10. Group Bookings

If booking on behalf of others, the person making the booking must have authorization from all individuals in the group. The terms of this agreement will apply to all group members.

11. No Liability for Possessions

Orenda Retreat cannot be held responsible for the loss, theft, or damage to personal belongings, vehicles, or hired equipment during the retreat.

12. Complaints

If an issue arises during the retreat, please inform the host immediately so we can address it promptly. Note that we are not responsible for the individual behavior of other guests.

13. Privacy Policy

We respect your privacy and will not share your personal details with third parties. Any information provided will be used solely for the administration of your booking and our communications with you.

14. Photography Release

By attending Orenda Retreat, you grant permission for photographs or videos taken during the retreat to be used for marketing purposes, including social media and promotional materials. If you do not wish to be photographed, please notify us in writing before the retreat begins.

15. Alcohol Policy

Orenda Retreat promotes health and wellness. Therefore, alcohol consumption is not permitted on-site at any of our retreats.

16. Retreat Participation Policy

We reserve the right to decline any application for attendance at our retreats if we determine, at our discretion, that participation may not be suitable due to physical or mental health conditions, dietary requirements, or other factors. This decision is made to ensure the safety, well-being, and overall experience of all guests.
